For Schedulers: Reschedule or Cancel a Booking

This page is for schedulers, the people who book a meeting through someone's OneCal booking link. If you booked a time and need to change or cancel it, here is how.

Find your booking

After you book a meeting, OneCal shows you a confirmation page and emails you the booking details, together with a calendar invitation. Both the confirmation page and the email contain everything you need to manage the booking, and you do not need a OneCal account for any of it.

To get back to your booking later, open the confirmation email and use the Reschedule or Cancel links at the bottom, next to "Need to make a change?". They take you to your booking page, which shows what the meeting is about, when it happens, who is attending and where it takes place.

Reschedule your booking

Clicking Reschedule reopens the host's booking page, where you pick a new date and time from their current availability, just like when you first booked. Before confirming, you can add an optional reason for the reschedule, so the participants know why the time changed.

Once you confirm, everyone receives the updated invitation, and your booking page shows the former time crossed out above the new one.

Cancel your booking

Clicking Cancel opens a short form on your booking page where you can let the organizer know why you are cancelling. The reason is optional. Click Cancel event to confirm.

The organizer and any guests are notified, the event is removed from the calendars, and your booking page shows the booking as cancelled.


Bookings that require confirmation

Some booking links require the host to approve each booking. In that case:

  • Right after booking, your booking page shows This booking is waiting for approval, and the confirmation email tells you the host still needs to confirm.
  • The calendar invitation and any web conferencing details arrive after the host confirms the booking.
  • If the host declines, you receive an email letting you know, together with the reason if the host provided one.
  • If you reschedule a booking that requires confirmation, the new time goes back to the host for approval.

The host can also cancel a booking or ask you to pick a new time. If they request a reschedule, you receive an email with a Book a new time button that takes you back to their booking page.

Good To Know

If you use Google Calendar and you have never exchanged emails with the organizer, the meeting may not appear on your calendar automatically. Check the calendar invitation in your email inbox and accept it from there.
